Privacy Policy

Your privacy and information you provide will be kept in the strictest confidence. We never share any information without prior consent.

1. Purpose

To describe how Café Care manages any personally identifiable information it has about its visitors and attendees, respecting and upholding their rights to privacy protection under the National Privacy Principles contained in the Privacy Act 1988 and any similar state or territory legislation applicable to the ministry.

2. Introduction

From time to time the ministry may collect personal details about its attendees to administer their relationship with the ministry, to provide personal support and to provide information on events and other services.  It may also inform them of other issues and provide them with an opportunity to respond in any way they see fit.

3. Oversight

This policy is overseen and administered by the Café Care Committee.

4. Personal information the ministry may hold:

4.1. Attendees

Café Care collects and holds a variety of personal information, including health information in limited circumstances, about those who attend and/or interact with the ministry.  This includes information collected by the ministry as part of its day-to-day activities.  In general, the information is stored in the ministry’s files.
The information collected may include:

  • Full name
  • Gender
  • Age
  • Contact details
  • Postal address
  • Email address
  • Telephone numbers

4.2. Ministry Personnel

The ministry holds information relating to it’s staff, volunteers and group leaders including:

  • The role of the Personnel
  • The activities of the Personnel

4.3. Attendee involvement

The ministry may also collect information from its attendees regarding their use of the ministry’s services.  This includes:

4.4. Video recording and security

  • The ministry may from time to time record video or images of services and activities at the ministry. These videos and images may be used and shown for information, teaching and/or promotional purposes. By attending these services and activities, attendees consent to the ministry taking the video and images and using and disclosing them for such purposes.
  • In addition, the ministry may also install and operate security surveillance cameras for security purposes.
  • The location of these cameras will be notified to all visitors to the extent required by law.  The ministry may use and disclose the video footage from these cameras for legal and security reasons.

4.5. General

In addition to the above, the ministry may also hold any other information attendees provided (whether orally, by mail or email or online).

 

If at any time another person provides personal information about an attendee to the ministry then that person will be asked to ensure that they have read and understood this policy and separately consented to that personal information being used and disclosed for the purposes described below.  If attendees provide personal information about any other person (including family members), then they must ensure that the person has read and understood this policy and consents to the ministry collecting, using and disclosing the information that has been provided as described in this policy.

5. What Café Care does with personal information

5.1. Attendees

The ministry uses the personal information about its attendees to:

  • Assist the ministry in providing services to attendees.
  • To respond to queries
  • To contact and communicate with attendees
  • To assist the ministry in operating and improving its services
  • To send information about and invitations to future events
  • Communications or newsletters (both electronic and hardcopy) outlining news, services, events or current issues
  • To inform attendees of national and community Christian issues and provide them with an opportunity to respond
  • For internal administrative, promotional and planning requirements
  • To compile and report statistics, with all the relevant personal and/or proprietary information unidentified prior to the completion of such statistics

5.2. Opt out

Attendees may opt out of receiving any communications from the ministry at any time. If anyone wishes to do this, they should make all requests to the ministry [see ‘Contact Us’ below]. They must indicate on their request whether they would like to opt out of either, or both, postal and electronic communications.

5.3. Disclosure

The ministry will not disclose personal information about attendees to any person except:

    • On a confidential basis to its leaders who have a need to know to provide a service to the person
    • On a confidential basis to agents and other service providers that the ministry uses in the day to day operations of its activities, such as medical or legal professionals.
    • With the attendees prior consent

6. Accessing Personal Information

Attendees may request access to personal information the ministry holds about them by writing to the ministry at the address below (see ‘Contact Us’ below).  Where information is held that they are entitled to access, the ministry will endeavor to provide them with a suitable range of choices as to how it can be accessed (e.g. emailing or post).

If anyone believes that personal information that the ministry holds about them is inaccurate, incomplete or out of date, then they may request correction or deletion of that information by contacting the ministry.   The request to access, amend or delete personal information may be refused in certain circumstances.  If the ministry does refuse that request, reasons will be given for the decision and a note will be included in their personal information stating their disagreement.

7. Anonymity

Attendees are not obliged to give the ministry their personal information.  However, if they choose not to provide these personal details, such as name or address, the range of options and services available to them may be limited.

8. Data Storage

If any personal information collected by the ministry is stored or managed by a third party on behalf of the ministry, the ministry will take all reasonable steps to ensure that the personal information will be held, used and disclosed by the third party consistently with the National Privacy Principles.  The service provider managing the information for the ministry may store certain personal information outside Australia.  Attendees consent to the transfer of their information outside Australia by submitting their personal information to the ministry.

9. Online Security

This Café Care website is available to anyone. No personal data is stored on this site.

11. Security, quality and accuracy of information

The ministry will endeavor to keep personal information up to date and accurate.  It will also endeavor to protect all personal information from misuse, loss or unauthorised access, modification or disclosure.

The Internet is not a secure method of transmitting information.  Accordingly, the ministry cannot accept responsibility for the security of information that is sent to, or received from us, over the Internet, or for any unauthorised access or use of such information.

12. Miscellaneous

In this policy ‘personal information’ has the same meaning as under the Privacy Act 1988.

This policy represents Café Care’s policy as at 13 September 2018.  The ministry reserves the right to make amendments to this policy at any time, and although this policy will be observed at all times, it is not legally binding on the ministry in any way.

From time to time, the ministry may regard it as necessary or desirable to act outside of the policy.  The ministry may do so; subject only to any statutory rights persons have under the Privacy Act 1988 or other applicable legislation.
